Zoho CRM for Real Estate: Sales and Agent Commissions

How Zolution helped a Singapore property agency move sales tracking and commission work from spreadsheets into a customised Zoho CRM process.

A property deal continues beyond the buyer's decision

For a Singapore property agency, each transaction involves people and tasks that unfold over time. Agents handle enquiries, arrange viewings and follow up with prospective buyers or sellers. Managers need to know which deals are progressing and where the team needs support.

These active opportunities form the agency's sales pipeline. As transactions progress, another question becomes important: what commission will the agents earn? Commission is the income allocated under the agency's rules for the transaction. A commission forecast shows the expected amount; finance still needs to review the relevant records when preparing payments.

The same deal therefore has several audiences. The agent needs the next action and a view of expected earnings. The manager needs visibility of progress. Finance needs the information required for the month-end payment process. This agency wanted those parts of the journey to work together.

More sales activity meant more spreadsheet work

As the agency's sales activity and agent team grew, staff used spreadsheets to track the pipeline and calculate commissions. Keeping those records current took manual work, introduced errors and left management waiting for updates before it could see the latest business position.

The problem crossed departmental boundaries. Agents needed to follow the agency's sales procedures and understand their expected commissions. Managers needed visibility of progress across the team. Finance needed commission information it could use to prepare month-end payments.

One property transaction created work for sales, management and finance. The agency needed those teams to work from connected records as the deal progressed.

The implementation had to connect the sales process, next-step reminders, commission calculations and finance's month-end output. A shared contact list would address only a small part of the work.

Make sales progress the starting point for commission work

Put the sales procedure into Zoho CRM

Zolution customised Zoho CRM around the agency's sales procedures. Its automation and process engine supported the agreed steps, with notifications prompting agents and customers about what needed to happen next. Staff across departments could collaborate on deals in the system.

Management could access the sales information recorded in CRM, bringing oversight closer to the work agents were doing. The quality of that view still depended on staff maintaining their deal records.

Automate the configured commission calculations

Zolution included commission-calculation automation in the implementation. Agents could monitor their commission forecasts inside CRM, connecting expected earnings with the sales process they were already using.

Give finance a usable month-end output

At month end, finance could extract commission data from CRM for agent payment preparation. This provided a defined handover from the operational records to the finance team's work. Forecasts gave agents visibility; finance's review and payment preparation remained a separate step.

Less manual calculation and a clearer handover

The configured commission rules do the calculation work in CRM. Agents can consult their forecasts in the system, while finance has a defined source for its month-end extract. This connects the information used during a sale with the information needed later for payment preparation.

Notifications also put follow-up into the sales workflow. Agents and customers receive prompts about the next steps, and staff from different departments can collaborate on the same deal. Managers can review recorded progress without waiting for a separate pipeline spreadsheet update.

At month end

From an agent's forecast to finance's review

An agent checks the commission forecast in CRM. Finance extracts the commission records for its month-end review and payment preparation. Management reviews the sales progress recorded in the same implementation.

Each team has a different responsibility, but the sales record and commission workflow connect their work.

A working process for agents, managers and finance

Calculation effort

Commission rules run in CRM

Automated calculations replace manual spreadsheet calculation for the configured rules. Staff can use the resulting records in the commission workflow.

Agent visibility

Forecasts are available to agents

Agents can see expected commissions in CRM alongside their sales work, giving them a direct way to check the forecast.

Finance handover

A defined month-end extract

Finance can pull commission data from CRM to prepare payments, connecting its month-end work to the agency's operational records.

Sales oversight

Recorded progress is available to management

Managers can review the sales position in CRM, while notifications prompt follow-up within the agreed process.

One deal record supporting the people who sell, manage and pay

The agency brought sales tracking, configured commission calculations and month-end extraction into the same CRM implementation. Agents gained access to their commission forecasts. Finance gained a defined source for payment preparation. Managers could review sales progress in the system where the team recorded its work.

The practical impact is less manual calculation for the configured rules and a clearer connection between selling a property and preparing the related commission payments. Follow-up reminders support the sales journey, and the information recorded along the way remains useful to management and finance.
