About this policy
This policy explains how Zolution Pte Ltd handles personal data when you visit our website, send an enquiry or communicate with us about our services. It covers our own website and enquiry handling. Data we process on a client’s behalf during a project is also subject to that project’s agreed terms and instructions.
Information you share with us
Our enquiry form asks for your name, email address, company and requirements. A mobile number is optional. We store enquiries and contact details in our CRM. We also receive the information you provide in follow-up correspondence. Please describe your requirements without including passwords, identity-document numbers or confidential customer records. If project work needs more detailed information, we will agree how it should be shared.
How we use your information
We use enquiry information to understand your requirements, answer questions, arrange discussions and prepare proposals. We keep relevant correspondence to follow up on your request and manage our relationship with you. If you engage us, we use the information needed to administer the engagement. We may also use relevant records to address complaints, protect our systems and meet applicable legal obligations.
Marketing choices
You can choose whether to receive marketing notifications from us. Sending an enquiry does not by itself opt you in to marketing. You can opt out by contacting team@zolution.co. Opting out of marketing does not prevent correspondence needed to respond to your enquiry or manage an existing engagement.
Service providers and disclosures
The enquiry form is hosted by Zoho Forms. Information submitted through it is processed through that service. Our website and communications may also involve hosting, customer-management and email providers. Where we use providers or authorised collaborators to handle information for us, access should be limited to their assigned work. We may disclose information where required or permitted by law.
Where our providers process personal data outside Singapore, we will require protection comparable to that required under the PDPA.
Website data and cookies
We use Google Analytics and Google Ads, with your choice, to understand how visitors find and use our website, measure enquiries from advertising and improve our campaigns. These services may process device and browser information, IP addresses, pages visited, referral information and cookie or advertising identifiers. Loading our enquiry form also connects your browser to Zoho, and the embed may pass a referring page address and campaign parameters. The map on our About Us page is provided by Google Maps. When it loads, your browser connects to Google and may share your IP address and browser information. Analytics and advertising choices are separate from marketing-message subscriptions. You can accept, reject or change non-essential cookie choices through the cookie settings on this website.
When you allow Analytics cookies, we also load Zoho SalesIQ for chat and visitor tracking. It may process pages visited, browser and device information, IP addresses, cookie identifiers and information you share in a chat. If you reject Analytics cookies, SalesIQ will not load. Withdrawing this choice after SalesIQ has loaded refreshes the page to stop it. This does not delete earlier chat records or cookies stored by Zoho.
Keeping and protecting information
We will keep personal data only while it is needed for the purpose collected or for legal or business reasons. When those reasons no longer apply, we will delete it or remove its association with individuals. We will use reasonable safeguards against unauthorised access, loss or misuse. No internet transmission or storage system is risk-free.
Access, correction and withdrawal
You may ask to access your personal data and information about its use or disclosure, request a correction, or withdraw consent on reasonable notice. These requests are subject to the PDPA’s applicable conditions and exceptions. We may need to verify your identity. If withdrawal affects our ability to respond or provide a service, we will explain the consequences.
Privacy questions and complaints
Please address privacy questions, requests or complaints to our Data Protection Officer at dpo@zolution.co. Include enough information for us to understand your request, without sending unnecessary sensitive information.
