
Which option costs less?
Zoho One can cost less when several people need several included applications. Individual subscriptions can cost less when a small group needs one app or a lower edition meets the requirement. Start with the number of employees, who uses each application and the capabilities each person needs.
For Singapore businesses, Zoho One Standard’s listed annual rate is S$40 per employee per month under All Employee pricing, or S$115 per licensed user per month under Flexible User pricing. The lower employee rate requires licences for every employee. A ten-person business buying four flexible licences pays more in subscriptions than licensing all ten employees at the employee rate, provided it qualifies for that model.
The prices below were checked against Zoho’s official SGD pricing data on 1 October 2026. They are subscription rates before applicable taxes, add-ons and implementation services. Confirm the current Singapore quote before purchasing.

Annual prices are monthly equivalents for an annual subscription. Twelve months at S$40 is S$480 per employee per year; twelve months at S$115 is S$1,380 per flexible user per year. Monthly billing has the separate rates shown above.
Zoho’s global site also describes an Essentials edition with a smaller app selection, including Bigin. Its current official pricing data does not supply an SGD rate for Essentials. Confirm its availability and terms for Singapore rather than applying a foreign price. Check Zoho’s pricing page ↗
Calculate the employee-versus-flexible break-even
Let E be the full employee count, U the users needing flexible licences, A the employee rate and F the flexible rate. On the same billing basis, compare E × A with U × F. Employee licensing costs less when U/E > A/F, assuming that model is eligible and both options cover the required work.
At the listed annual rates, 40 ÷ 115 is approximately 34.8%. At the monthly rates, 55 ÷ 145 is approximately 37.9%. These percentages compare subscription totals only.

This is a mathematical example, not a customer quotation or a measured saving. Recalculate when your employee count or required users change.
Compare individual apps on the same basis
Add each app’s required users multiplied by its quoted rate, then add organisation fees, add-ons and usage charges. Some apps charge per organisation rather than per user. Keep those fees separate. Use one currency and either annual or monthly billing across the comparison.
For a CRM-only example, Zoho’s listed Singapore annual rates are S$17 for CRM Standard, S$28 for Professional and S$50 for Enterprise per user per month. Their monthly-billing rates are S$26, S$46 and S$65 respectively. Five CRM Enterprise users at the annual rate cost S$3,000 a year. Zoho One All Employee for a ten-person business costs S$4,800 a year at the listed annual rate. In that illustration, buying CRM alone costs less if its edition covers the work and no other paid apps are required.
That comparison does not establish identical entitlements between standalone CRM and the CRM supplied in Zoho One. Check the bundle’s application limits ↗ against the specific standalone edition before selecting either. If you also need Desk, Books, Creator or Analytics, add their actual user counts and quoted editions to the calculation.
Check the licensing and application limits
All Employee pricing requires licences for every employee, including new employees who join during the subscription. Zoho’s FAQ directs businesses with staff who do not use digital devices to its sales team for an appropriate arrangement. Do not assume those staff are automatically excluded.
Flexible User pricing allows selected users. Zoho says it can be combined with separately licensed Zoho apps for other employees. Its FAQ states no minimum licence count. Check the arrangement with Zoho for divisions, franchises or unusual employment structures.
Zoho One has app-specific capacities, usage limits and regional availability. Compare required records, storage, portals, automation and integration usage against the published entitlements. Access to an app does not mean every feature or add-on is included. Marketplace extensions and extra usage can create separate costs.
Budget for the rollout as well as subscriptions
Price the data cleanup, configuration, migration, integrations, testing and training needed to make the selected applications work together. Name who will maintain access, field definitions, automations and reports after launch. These tasks can differ between a single-app rollout and a wider Zoho One project.
Prepare a twelve-month estimate with subscriptions, implementation, internal project time and ongoing support shown separately. Add a second scenario for expected hiring or another application. A cheaper subscription may still be the wrong choice if an essential function requires another product or more delivery work.
