
Choose the shortlist around a real sales journey
A CRM has to support the work between an enquiry arriving and the next person taking responsibility. Before comparing products, write down how your team captures a contact, qualifies a need, prepares a quotation, follows up and hands work to delivery. Include a duplicate enquiry and an absent salesperson.
The seven products below are the options in our original Singapore SME article: Zoho CRM, HubSpot, Pipedrive, Freshsales, monday CRM, Salesforce Starter and Bigin. We have retained the shortlist while replacing broad “best” claims with specific questions to test. This is Zolution’s consulting perspective, not a scored benchmark or a claim that we have implemented every platform.
Product descriptions are based on the official sources linked below, checked in September 2026. A product family may offer a feature that is absent from its entry edition. Verify the exact plan, limits and regional terms before making a selection. We have deliberately avoided undated price estimates.

These are starting points for a trial, not exclusive use cases. A platform may fit several types of team. Eliminate a product only after checking a requirement that matters to your business, rather than assuming that its marketing category decides the answer.
Zoho CRM
Zoho CRM provides lead and deal management, activities, reporting, customisation and process-automation capabilities. It is worth evaluating when your sales process needs defined stages and responsibilities, particularly if other Zoho applications already support your business.
Demonstrate your hardest transition: a revised proposal, reassigned owner or approval exception. Establish which capabilities are available in the intended edition. For operational work outside the sales process, compare extending CRM with a separate application instead of adding every field to the opportunity record.
Budget for data preparation, configuration and role-based training. Buying a wider feature set does not decide your pipeline definitions or who will maintain them. Official Zoho CRM features ↗
HubSpot
HubSpot offers CRM tools alongside products for marketing, sales and customer service, including a free entry point. It merits investigation when several teams need access to a shared customer history.
Test the whole handover rather than only contact entry. Which team can see marketing activity? Who can edit an opportunity? What happens when a lead becomes a customer with an open service issue? Ask the supplier to identify the paid products and seats needed for that scenario.
Compare the required configuration with the free or entry offer carefully. Include contact or usage limits relevant to your plan and the cost of the next capability you expect to add. Official HubSpot CRM overview ↗
Pipedrive
Pipedrive presents sales work through deals, pipelines and activities. Its official feature set includes tools for managing contacts, sales activity and reporting. Consider it when the immediate requirement is for the team to see opportunities and keep follow-up organised.
During evaluation, ask a salesperson to find the next task, reschedule it and explain why an opportunity has stalled. Then test what happens after a deal is won. A straightforward sales interface still needs a defined connection to any quotation, project or support system used elsewhere.
Confirm which automations, integrations and additional products are included in the proposal. Avoid assuming that a visible pipeline covers the entire customer lifecycle. Official Pipedrive features ↗
Freshsales
Freshsales combines sales-record management with communication, automation and AI-related capabilities. It is a useful candidate to investigate when calls and email are central to the sales team’s daily work.
Have the vendor demonstrate the communication channels you use, in the countries where your team and customers operate. Check how calls or messages are associated with records, who can access them and what happens when a salesperson changes.
Ask for a clear breakdown of the selected plan, any communication charges and the limits or prerequisites of specific AI functions. Evaluate the everyday record workflow as well as the demonstration of advanced features. Official Freshsales features ↗
monday CRM
monday CRM provides configurable sales workflows, contact and deal management, communication tools and reporting. Teams already using monday.com may find the interface familiar, but familiarity alone does not establish that their sales process is well defined.
Build a small trial with related contacts, companies and deals. Check that users can find the current record without maintaining duplicate boards. Ask a manager to explain the pipeline report and show how its figures were assembled.
Identify who owns changes to boards, permissions and automations. A flexible setup needs a shared structure so that each team does not create a separate version of the customer. Official monday CRM features ↗
Salesforce Starter
Salesforce positions Starter Suite as an entry offering that brings sales, service and marketing functions together. Consider it when those combined workflows fit the requirement or when there is a clear reason to evaluate the Salesforce environment.
Keep the demonstration tied to Starter. Features shown elsewhere in the Salesforce product family may require another edition or product. Write down which automation, integration and reporting needs are met by the proposed setup.
Ask what an upgrade would involve if the team reaches a limit. Do not choose a platform solely because it could support a larger organisation later; establish the cost and complexity of the release you need now. Official Salesforce Starter Suite ↗
Bigin by Zoho
Bigin is Zoho’s pipeline-focused CRM for smaller businesses. It is worth including when the team mainly needs a manageable place for contacts, work stages and follow-up, rather than a heavily customised sales system.
Test the record relationships and process variations you already know about. If different services need separate pipelines, check how a customer’s work remains visible across them. Confirm the available automation and integration options in the intended edition.
If you expect to move to a larger CRM later, ask what data and configuration will transfer and what will need rebuilding. Treat that transition as a migration question rather than an assumption of effortless growth. Official Bigin overview ↗
Compare the full cost with a consistent brief
Ask each supplier to price the same users, workflows, data sources and planning period. Separate subscription charges from project work and ongoing support. Record currency, tax treatment, billing frequency and assumptions in the comparison.
Implementation work includes more than configuration. Someone needs to clean source data, agree stage definitions, test integrations and train users. Include the time your own team will contribute. A quote that excludes those activities can appear cheaper while leaving the work with you.
Add a second scenario representing a plausible change, such as more users or an additional integration. This will reveal upgrade dependencies without assuming that every possible future feature must be bought now. The cost framework above helps keep those conversations comparable.
Run the same trial on two or three candidates
Reduce the list using genuine requirements, then run a bounded trial. Use the same anonymised records and ask the people who will use the system to perform the tasks. Avoid scoring a product only from a salesperson’s guided demonstration.
- Create an enquiry and detect a duplicate.
- Assign an owner, schedule a task and reassign the work during leave.
- Record a proposal revision without losing the previous version.
- Close a lost opportunity and find it in the correct report.
- Hand a won opportunity to the person responsible for delivery.
- Export an agreed sample and verify the records and relationships.
Record what worked, what required help and what was unavailable in the proposed edition. Distinguish a configuration gap from a product limit. Decide who would maintain the solution after launch.
